Terms of Service

Welcome to ChapterOps. By creating an account or using our service, you agree to these terms. We have tried to write them in plain English. If something is unclear, email us at ben@chapterops.com.
1. Who can use ChapterOps
ChapterOps is designed for:
- Advisors — teachers, coaches, or staff at an accredited school or educational program who manage a CTSO chapter (DECA, FBLA, HOSA, or similar).
- Student members — chapter members age 13 or older who are invited by an advisor. Members under 13 may not create accounts.
- Parents / guardians— parents who access the token-based parent portal to view their child's information or sign permission slips.
- Chaperones — adults added by an advisor to accompany a specific trip, who access a scoped trip dashboard.
You must provide accurate information when you create an account. You are responsible for keeping your login credentials secure.
Advisors must be at least 18 years old. By creating an advisor account, you confirm you are 18 or older and have authority from your school or district to use third-party tools for student data. Student members must be at least 13 years old — members under 13 may not create accounts (see our COPPA policy).
2. Acceptable use
You agree not to:
- Upload false or misleading student records.
- Use ChapterOps to collect data for purposes unrelated to chapter management.
- Attempt to access another chapter's data.
- Reverse engineer, scrape, or stress-test the platform without written permission.
- Use ChapterOps in any way that violates applicable law, including student privacy laws.
3. Advisor responsibilities
Advisors are the account owners for their chapter. By using ChapterOps, the advisor represents that:
- They have authority from their school or district to collect and process student data through a third-party tool.
- They have obtained, or will obtain, appropriate parental consent before adding students under 18 to the platform (including for SMS opt-in and photo upload).
- They will not enter sensitive health or eligibility information for a student unless they have a legitimate educational purpose for doing so.
- They will respond promptly to parent requests to view or delete their child's data and will direct parents to our data deletion page if needed.
Advisors can invite other advisors as collaborators. The account owner is responsible for the actions of their collaborators.
4. Payment terms (current pilot)
ChapterOps is free during the current pilot phase. There is no subscription fee for advisors or chapters. We will give at least 60 days' notice before introducing any paid tier, and existing chapters will have the option to continue on a free plan during any transition period (details TBD).
Stripe is used to collect trip fees from parents on behalf of chapters. ChapterOps does not take a platform fee in v1. The chapter receives 100% of collected fees. Stripe's fees apply (currently ~2.9% + $0.30 per transaction). Real Stripe money-flow architecture is finalized with each school's finance office separately.
5. Intellectual property
ChapterOps owns the platform, code, and design. You own your chapter data. We will never use your chapter data to train AI models or share it with advertisers.
You grant us a limited license to process your data solely to provide the service.
6. Limitation of liability
ChapterOps is provided “as is.” We are not liable for:
- Data loss caused by advisor error, account compromise, or circumstances outside our control.
- Trip-day decisions made by advisors or chaperones based on information in ChapterOps.
- Payment disputes between chapters and parents (those are between the parties; we facilitate the Stripe integration only).
- Indirect, consequential, or punitive damages of any kind.
Our total liability for any claim is limited to the greater of: (a) the amount you paid us in the 12 months preceding the claim, or (b) $1,000 USD for claims arising from student data breaches caused by our negligence. This minimum floor applies even during the free pilot. Some jurisdictions do not allow limitations of liability for certain types of claims, so this cap may not apply to you.
7. Governing law
These terms are governed by the laws of the State of North Carolina, USA, without regard to conflict-of-law provisions. Disputes will be resolved in the state or federal courts located in Wake County, North Carolina.
8. Termination
You can stop using ChapterOps and delete your chapter at any time by emailing ben@chapterops.com (in-app chapter deletion is planned for a future release). We will purge your data within 30 days of a confirmed deletion request.
We may suspend or terminate accounts that violate these terms, after giving reasonable notice when possible. In cases of clear abuse (e.g., unauthorized access attempts), we may act immediately.
9. Changes to these terms
We will post updates to this page and update the effective date. For material changes, we will notify advisors by email at least 30 days before the change takes effect. Continued use after notice constitutes acceptance.
